Terms and conditions


The arrangements.
All trips are arranged by Nordic Adventure in co-operation with local tour operators, Air Greenland, Iceland Air and Atlantic Airways. Nordic Adventure is member of “The Travel Guarantee Fund” (number 1820).

Booking and payment.
You can book a tour with Nordic Adventure by phone, letter, e-mail or in person at our office. Nordic Adventure send out a booking confirmation letter and kindly ask that you check the information is agreement with your booking. The booking is binding for both parties when the deposit per person is received on time. The remaining payment is due no later than ten weeks before departure unless otherwise stated. Travelling documents and other documents of the arrengement will be sent no later than seven days prior to departure.

Changes/delays of travelling arrangements
I you wish to make changes to an already confirmed trip, Nordic Adventure will add a handling charge of Dkr 500,-
On holidays and in the peak season, Nordic Adventure reserves the right not to make changes after confirmation has been made. Changes within ten weeks of departure is considered a cancellation. If only plane tickets have been booked – or a land arrangement has been made – other rules apply.
 
Please be aware that travelling to and within Greenland, Iceland and the Faroe Island, are subject to conditions that may lead to delays and rearrangement of the route. The excursions and prepaid events are dependent on the weather, and Nordic Adventure reserves the right to change a programmed event. Any expenses due to changes in the programme made by the traveller, lost earnings etc., are not the responsibility of and will not be paid by Nordic Adventure.

Nordic Adventure reserves the right to make necessary changes due to insufficiant  participation. If the costumer does not want travel due to the changes, the payments will be refunded, but no further demands will be met. Nordic Adventures can with 24 days notice cancel a planned arrangement. If it is not possible to find a suitable substitute arrangement, the payments will be refunded. However, no futher claims for compensation from the customer will be met.

Price changes after Travel Agreement
Nordic Adventure reserves the right to change prices on on a travel arrangement after an agreement has been confirmed. The price increases can be due to changes in exchange rates, travelling costs including fuel prices, taxes, chages and fees for certain services such as airport- landing- and take-off fees. A price increase must be given notice of as soon as possible and not later than 20 days prior to departure. It must not exceed 10 percent of the advertised prize. If these terms are not met, the costumer can cancel the arrangement free of charge.

The cancellation must be communicated to Nordic Adventure immediately after the costumer has been notified about the price change. If a fall in prices occurs
in the before mentioned areas, the costumer will be advised as soon as possible. If a fall in prices occurs within 20 days of departure, the costumer can not demand a price reduction. If domestic public taxes or fees are reduced or discontinued before the departure date, Nordic Adventure must reimburse the traveller if the amount exceeds Dkr 100,-

Travel Cancellation
The cost of cancellation more than ten weeks before departure costs Dkr 1000,- or the deposit put down for the tour.
The cost of cancellation from ten to two weeks before departure is 50 percent of the arrangement price.
The full amount must be paid for cancellations within the last two weeks before departure.

Cancellation due to Sudden Illness
We recommend that you take out travel insurance, which will cover the expenses of cancellation if taking part in the arrangement is not possible or severely complicated by death or sudden illness/injuries, that demands hospitalization, confinement to bed ordered by doctor or the equivalence, for yourself, your spouse/partner, parents, parents-in-law, children, grandchildren, siblings, grandparents, sisters- and brothers-in-law or travel companion.

Please note, that if the person causing the cancellation has turned 75 years of age, the compensation is limited to Dkr 20,000,- per person even if the amount insured is higher. The condition of this insurance protection is that a medical certificate is sent within a week of the cancellation. If no medical certificate is recieved, or the cancellation is due to other reasons, the normal rules of cancellation apply. The cost of the insurance is paid along with the deposit and is not refundable regardless of the reasons for cancellation.

Travel Insurance.
The traveller is responsible for costs in connection with illness, hospitalization, etc.
On the trip, unless the organizer can be held liable. We strongly advise to take out travel insurance, to cover accidents, death, medical treatment, transportation home and lost or damaged luggage.

Plane tickets only
If you have only purchased a plane ticket, Nordic Adventure is only the mediator acting for the airline(s). This means that the airline has full responsibility for the completion of the travelling arrangement.

Airlines’ responsibilities
The participating airlines take no resposibilities for occurances taking place at times, when the passengers are not on board the airline’s plane. For terms and conditions on checked in baggage, please refer to the airline’s own rules and regulations.

Customer Obligations
The costumer is obliged to have a valid passport and any visas and vaccinations needed for the specific travelling arrangement. Before departure the customer must check, that both first name and family name are correctly stated in the passport and tally with tickets and other travelling documents. If they don’t it might lead to refusal at the plane check in.

Nordic Adventure take no responsibility for the consequences of incorrect information given by customers.

It is up to the customer to take notice of the changing conditions at the airports, which can lead to changes in check-in times, baggage rules, etc.
Finally it’s important that all customers read the sent travelling information thoroughly, as this is Nordic Adventure’s way of notifying the customer of several important conditions concerning the destination.

Complaints
Any complaints during travelling must be put to the airline or the travel agency within a reasonable time after the problem has arisen, so that it can be helped or mended as soon as possible and with the least possible inconvenience to the customer.
If the complaint is put directly to the airline or to the agency, make sure to have proof of the problem, if it is not possible to deal with it right away, and you later want to bring action for damages against the company. If no claims are made it will in most cases lead to loss of rights to compensation.

Discount Tickets
If you wish to take advantage of the many cheap tickets available, and combine these tickets on different routes, they must be issued on seperate documents. These tickets can usually not be cancelled, altered or refunded. This means, that you must take the risk of your plane being delayed, and subsequently missing your connection. Neither the travel agency nor the involved airlines take any responsibility for any costs, such as new plane tickets, overnight stays, etc., this may involve. At the agency you can take out a speciel travelling insurance, that will cover these costs.

Times of Departure in Itinerary and Tickets
The times of departure given in itinerary and tickets are always local time. After
The issuing of tickets and itinerary, time changes may occur. Always check the departure time in your travelling documents. Contact the travel agency immediately, if anything deviates from the original confirmation so that any mistakes can be taken care of before departure.

Check-in times
 We recommend that you enquire about your check-in time, as soon as you arrive at the airport. Information given by Nordic Adventure or the airline concerning departure, gates or teminals is only a guideline! Conditions may arise that make gate or terminal changes necessary. Always check you gate and terminal, also if you’re changing flights.


Taxes
Some taxes are added to the price of the plane ticket. However, some of the airport- or other tourist taxes must be paid in cash at departure or arrival and can not be paid in advance. This will usually be stated in your travel documentation. Individual countries can with no or very short notice introduce new taxes or raise the existing taxes, leading to changes in price between booking, departure and homeward journey.

Transferral
Due to rules made by the subsupplier, tours can not be transferred.

Specific Reservations on Particular Tours
On special tours, e.g. expedition trips, specific reservations are made and will be stated in your travel documentation (itiniary, booking and confirmation papers).
Nordic Adventure is, due to the law on package tours, responsible for the completion of the travelling arrangement according to programme and price list.
The organizer takes no resposibilities for arrangement made between the customer and the travelling agency without the knowledge and/or accept of the organizer.
The organizer takes no resposibilities for changes, delays etc. due to breach of contract, unofficial strikes, weather or conditions outside the organizer’s influence.
 
Other Conditions
The travel arrangements are carried out according to the conditions for participation in package tours made by The Danish Travel Agency Associationand The Danish Consumer Council.
The right is reserved to make changes in case of misprints, price changes or changed conditions of purchasing.

Venue/Law
Any claim against Nordic Adventure must be settled according to Danish law. Complaints or lawsuits, that can not be settled by the Danish Travel Industry Complaints Board, must be settled by the Maritime and Commercial Court.
